Explanation of services and considerations

SERVICE CONSIDERATIONS:

This section applies to all dryer ventilation, air conditioning, inspection, and related services provided by Aaron Dryer Vents & Air Conditioning for residential or commercial properties — including but not limited to: dryer vent cleaning, air duct cleaning, dryer vent repair or replacement, A/C service, repair, installation, maintenance plans, and camera inspections.

Aaron Dryer Vents & Air Conditioning makes every effort to deliver professional and thorough service under safe, accessible, and reasonable conditions. However, the outcome or scope of any service may be affected by pre-existing or unforeseen factors such as, but not limited to: improper installation, lack of previous maintenance, brittle or damaged materials, corroded components, disconnected lines, hidden obstructions, pest activity, inaccessible ductwork or equipment, water accumulation, or excessive debris buildup.

Cleaning or repair services may not be fully effective if these issues are present. Customers must inform the Company of any known concerns, special circumstances, or access limitations before the appointment. If unsure, customers are encouraged to email a photo of the area or equipment in question. Additional charges or service limitations may apply under such conditions.

A/C Repairs

Aaron Dryer Vents & Air Conditioning offers a 30-day limited labor warranty on qualifying A/C repairs from the date of service. This warranty applies only to the specific repair performed and is valid if all recommended work was approved and completed at the time of service, the system has not been serviced or altered by another party, and the issue is directly related to the original repair. Parts we install are covered under the manufacturer’s warranty—typically one year—but labor for manufacturer-covered parts is not included beyond the initial 30 days unless the repair falls under an active maintenance plan or extended warranty. This warranty does not cover refrigerant, leak repairs, or recurring drain line issues. Additional charges may apply for underlying problems discovered later, and warranty calls are addressed during regular business hours only (Monday–Friday, 8:00 AM–4:00 PM). Diagnostic or trip fees may still apply if the issue is unrelated to the original repair. Customers may contact us to verify whether their repair is still under warranty.

A/C Refrigerant / Leaks:

Recharging the air conditioning unit or adding refrigerant comes with no guarantee. The Service Provider is not responsible for any refrigerant leaks that exist prior to service or that may occur during or after the service.

A/C Drain Lines:

Drain lines used by air conditioning systems must be regularly maintained and continuously monitored by the customer. The Service Provider is not responsible for the condition of the drain lines or for any water issues, leaks, or damages resulting from clogs or backups. Due to the nature of organic buildup, debris or algae may dislodge at any time—including after a cleaning—and may cause future blockages. In such cases, additional service may be required and will be billed at standard rates.

A/C Electrical:

The Service Provider is not responsible for any existing or emerging electrical issues, failures, or incompatibilities related to the HVAC system or associated components.

A/C Parts and equipment:

All parts and equipment installed by Aaron Dryer Vents & Air Conditioning are covered solely by the manufacturer’s warranty, which typically ranges from 1 to 10 years depending on the component. The Service Provider does not offer additional warranties on parts beyond the manufacturer’s terms.

Labor to replace a manufacturer-covered part is not included unless performed within the original 30-day labor warranty or as part of an eligible maintenance plan or extended service agreement. Additionally, a processing fee may apply for handling manufacturer warranty claims, including ordering and replacement coordination.

A/C Change out:

The price quoted is based on parts availability and pricing at the time the estimate was prepared. If any parts become unavailable or pricing changes prior to purchase or approval, the customer will be notified. All work will be performed during regular business hours (Monday–Friday), and the quoted price includes parts, materials, labor, travel, and applicable taxes, unless otherwise specified. Permitting is not included unless explicitly stated. Installation assumes connection to existing stand, slab, ductwork, refrigerant lines, drainage system, electrical wiring, and water hoses. Replacement of water valves or hiring a licensed plumber is not included and will incur additional charges if required. A 12-month labor warranty is provided on installation, which covers labor for replacing any parts under manufacturer warranty within the first year. See “Parts and Equipment” for additional warranty terms.

Air Duct Cleaning:

Our goal is to improve indoor air quality and enhance the efficiency of your HVAC system. While we make every effort to clean as much of the ductwork as possible, some areas may be inaccessible due to the design of the duct system. In particular, main trunk lines are not accessible from the supply registers. However, we prioritize the most critical and accessible portions of the system. Vents and grilles will be vacuumed to remove dust and debris; washing individual grilles is not included unless specifically stated and may be billed separately. Please note that any inspection of the A/C system performed during this service is for recommendation purposes only. Cleaning of other A/C equipment components is not included in the air duct cleaning service. Unless otherwise specified, estimates cover cleaning of a basic return box where the air handler is located. Cleaning of return ductwork, ceiling-mounted return air ducts, or balancing returns may incur additional charges if not included in the estimate.

Dryer Ventilation:

Dryer vent cleaning includes the removal of normal dry lint buildup. The removal of anything beyond this—such as water, sand, animal nests, construction debris, insulation, or excessive accumulation—is not included in the base price. Also excluded from the standard service are: repair or replacement of dryer hoses, internal dryer cleaning, dryer servicing or repairs, and booster fan cleaning.

If cleaning cannot be completed for any reason, standard service charges will still apply. If a return visit is required, an additional service fee will apply.

If the dryer is part of an oversized or stacked unit that cannot be moved by a single technician, an additional charge will apply for a second technician. Alternatively, if the exterior vent is accessible and the customer approves, the cleaning can be performed from the outside only. However, this method excludes cleaning the back of the dryer and the transition hose. This option may be acceptable if the hose is not kinked, crushed, or holding wet lint. Please note that no guarantee is made regarding the cleanliness or condition of the transition hose behind the dryer. Any additional service or callbacks related to that area will be billable at standard rates. Customers are asked to communicate these access situations at the time of scheduling.

Screens:

Screens installed at the vent termination point can restrict airflow and cause lint buildup. If not cleaned regularly, they may lead to overheating, fire risk, water accumulation inside the duct, leaks within walls, and damage to dryer components. Service calls due to screen-related issues—including cleaning or blockages—are not included in standard pricing and will be billable.

Roof Access & Elevated Vents:

In cases where the dryer vent terminates on a high or steep roof (e.g., third-story or above-standard height), cleaning may be performed from inside the attic if the termination point is accessible. This decision is made at the technician’s discretion based on safety and equipment considerations at the time of service.

If roof access is necessary, the vent cap may be opened for cleaning and returned to its original position afterward. Customers who object to roof access or opening the vent cap must notify both the Company at the time of scheduling and the technician before the service begins. If access is declined, cleaning will be performed only from the dryer connection upward. In such cases, the Company does not guarantee the completeness or effectiveness of the cleaning. The Service Provider is not responsible for pre-existing damage to the roof surface or vent cap.

Disconnected or Improper Venting:

Dryer vent cleaning is priced with the assumption that the vent terminates properly to the exterior of the structure. If, during service, the technician finds that the ductwork is disconnected or improperly routed inside a wall, ceiling, or attic space, cleaning will be performed only on the accessible section connected to the dryer. The technician will make a reasonable attempt to inspect and report the issue. No repairs are included in the cleaning service. Any repair work will be quoted separately and must be approved by the customer prior to beginning.

Roof Exhaust Fans:

If removal is required for cleaning, we will reinstall the fan securely in its original position. However, we are not responsible for any water, electrical, or mechanical issues that may occur during or after reinstallation due to pre-existing conditions or system design.

Rescheduling / Cancellations:

Appointment changes or cancellations must be made at least 24 hours in advance to avoid a rescheduling fee. Customers who cancel or reschedule with less than 24 hours’ notice—or fail to be present at the time of service—will be required to prepay for future appointments.

Payment:

Partial payment in advance may be required. No refunds will be issued. Returned checks are subject to applicable fees.

Refund Policy:

All payments are non-refundable. This includes deposits for equipment, labor, or materials related to approved estimates or installations. For new A/C installations, payment of 50% is due at approval and 50% at installation, unless otherwise specified by the Service Provider.

If any work is canceled after parts have been ordered but before installation, a restocking fee of up to 25% may apply, depending on supplier terms. No refunds will be issued once installation work has commenced or custom-ordered equipment has been purchased.

Release of Liability:

By requesting service, the customer releases and forever discharges Aaron Dryer Vents & Air Conditioning, Inc., its owner(s), spouse(s), and affiliates from all claims, demands, or actions for any damage, loss, or injury to persons or property that may occur as a result of services rendered.
